Instagram Auto Reply: What's Free, What Isn't, and the Limits That Break It

How Instagram auto replies actually work: the free Business Suite tools, where they stop, and the Meta API limits that explain most failures.

The most common Instagram automation problem we see is not a broken flow. It is a reply that worked yesterday and went nowhere today. Nearly every time, the flow is fine — Meta's 24-hour messaging window closed while nobody was watching.

An Instagram auto reply is an automated response sent when someone messages your professional account, or in some cases comments on your post. There are two ways to build one: the free tools inside Instagram and Meta Business Suite, or a platform running on the official Instagram Messaging API. This page covers both, plus the limits every one of them works inside, because those limits explain most of what goes wrong.

The four kinds of Instagram auto reply

Tools blur these together, which is how people end up buying something that cannot do the job they had in mind. They fire on different events and they fail in different ways.

What Instagram automates for free

Start here, because for plenty of businesses it is enough and it costs nothing. Inside the Instagram app and Meta Business Suite you get an instant reply for a first message, an away message for out-of-hours, saved replies your team inserts manually, a set of frequently asked questions on your profile, and the newer AI-generated auto replies Meta has been rolling out.

Meta's help centre documents the caps: up to 5 custom keywords, and suggested presets for up to 5 frequently asked questions. Two details catch people out. Keywords are case-sensitive and must match exactly, so a customer typing "sale" will not trigger a rule you wrote as "SALE". That table is narrower than most vendors will tell you, including, until recently, us. Business Suite genuinely covers assignment, labels, notes and a shared inbox across all three Meta channels, and it costs nothing. The honest dividing line is not the inbox — it is whether your replies need to make decisions. A Business Suite automation fires one response at one trigger. It cannot ask a question, read the answer, and choose what happens next.

The rules every Instagram auto reply works inside

These come from Meta's own developer documentation and they bind every tool on the official API, ours included. Most "the bot stopped working" tickets turn out to be one of them doing its job.

  • 24 hours to reply. Once someone messages you, your app has 24 hours to respond, and promotional content is allowed inside that window. (Meta's Messenger Platform and IG Messaging API policy)
  • 7 days, but only with a human. The human agent tag stretches the window to 7 days — strictly so a real person can resolve what the standard window could not, like a weekend closure. It is not a way to keep a bot talking. (Human Agent feature)
  • One private reply per comment. A comment can be answered privately exactly once, within 7 days of the comment. Once the person replies, the normal 24-hour window applies. On a live video, private replies only work during the broadcast. (Private replies)
  • 13 quick replies, 20 characters each. Instagram supports a maximum of 13 quick-reply buttons, and each title is truncated after 20 characters. Plain text only, and not available on desktop. (Quick replies)
  • 4 ice breakers. The questions shown before someone writes their first message are capped at 4, and they do not appear on desktop either. (Ice breakers)

How to set one up

The order matters more than the tool does. Most flows that fail were built starting from the bot instead of from the questions.

  1. Read your last 20 DMs. Real ones. The questions you actually get are rarely the ones you would have guessed.
  2. Connect your Instagram professional account. In WABPO that is an OAuth step through Meta — no password sharing and no unofficial app automation.
  3. Write the greeting so it says what you can answer. "Hi, how can I help?" earns you a second vague message.
  4. Add the three or four questions that repeat, each answered completely in one message.
  5. Set the handover rule before you launch, not after. Decide which words or situations pull in a person.
  6. Test from a second account, including one question you did not build for. What happens then is what customers will actually experience.

Instagram quick reply examples you can copy

The hardest part is rarely the setup. It is deciding what the replies should say. These are written to resolve the question in one message, because a reply that answers beats three that tease. Swap the bracketed parts for your own details.

  • New DM greeting: "Hi {{name}}, thanks for messaging [Business]! I can help with prices, availability and delivery. What are you after?" — with buttons for the three things people actually ask.
  • Price question: "[Product] is [price], and delivery to [city] is [cost], usually [days] days. Want me to reserve one?" Give the number. Making people ask twice is how you lose them.
  • Story reply: "Glad you liked it! That's the [product] — [price], and we have [sizes/colours] in stock right now. Want me to hold one for you?"
  • Out of stock: "That one sold out, sorry! [Alternative] is very close and in stock, or I can message you the moment [product] is back. Which would you prefer?"
  • After hours: "Thanks for messaging! Our team is offline until [time], but I can answer prices, availability and delivery right now — what do you need?" Never say only "we are closed".
  • Handing over to a human: "That one needs a person — I have passed it to [team] and someone will reply here shortly. Anything else I can answer meanwhile?"

Why did my Instagram auto reply stop working?

Almost always the 24-hour messaging window. Once a customer's last message is more than 24 hours old, automation cannot send a normal reply — a human can still respond for up to 7 days using the human agent tag, but a bot cannot. Check the timestamp on their last message before assuming the flow is broken.

How do I set up an auto reply on Instagram?

For a basic greeting or away message, use the free tools in the Instagram app or Meta Business Suite. For replies that branch on what someone answers, route to a teammate, or share a queue with WhatsApp, connect your Instagram professional account to a platform on the official API and build the flow with a drag and drop editor.

How many keywords can an Instagram auto reply use?

Meta Business Suite caps custom keyword responses per automation, and the number has changed over time, so check the current figure in your own Business Suite. On the official API there is no keyword cap — the limits that actually bite are the 24-hour messaging window and the 13-button, 20-character cap on quick replies.

Can I reply to an Instagram comment with a DM?

Yes, this is called a private reply. Meta allows exactly one private message per comment, sent within 7 days of that comment; on a live video it only works during the broadcast. WABPO does not offer comment-to-DM today — creator-focused tools like ManyChat do.

Is Instagram auto reply against the rules?

Not when it runs through the official Instagram Messaging API, which is how WABPO works. There is no app automation and no cold messaging. What does break the rules is messaging people who never contacted you, or using unofficial tools that log into the app on your behalf.

Can the bot pass a chat to a real person?

Yes. You choose when the bot steps back. Important or sensitive chats reach the right person on your team, with the full conversation in view.
