Meta Business Suite Automation: What's Free, What's Capped, and When You Outgrow It

Most writing about Meta Business Suite automation comes from companies that want you to leave it, and it shows. Reading Meta's documentation properly rather than assuming, I had to go back and correct one of our own posts: Business Suite does more than we had credited it with. It assigns conversations to teammates, it carries labels and notes, and its inbox covers your WhatsApp Business account alongside Instagram and Messenger. If you are paying a platform purely to get those things, you are wasting money.

What follows is the full inventory of what it automates, every cap Meta documents, and the one structural thing it cannot do. Figures come from Meta's Business Help Centre pages on automated responses and setting up inbox automations, read on October 2, 2026. There are more automation types here than most businesses ever switch on. Each one pairs a single trigger with a single response.

You can attach photos, videos, buttons and links to any of them, and you can delay a response so it sends only after the chat has been inactive for a period you choose. That last one is a nicer touch than several paid tools manage out of the box.

The caps Meta documents

  • 5 custom keywords per automated response.
  • 5 suggested presets for frequently asked questions.
  • Each keyword belongs to one rule. The same word or phrase cannot be reused across two keyword responses.
  • Desktop only for custom keyword responses — you cannot create them in the mobile app.
  • Case-sensitive, exact match. This one earns its own section.

The case-sensitivity trap

Keywords are case-sensitive and the match must be exact. A rule written as "SALE" will not answer someone who types "sale" or "Sale". People do not capitalise consistently in chat, so a single-case keyword misses most of the traffic it was built for.

There is no tidy fix inside a 5-keyword budget, because variants eat the allowance: "sale", "Sale" and "SALE" spends three of your five slots on one word. Pick the lower-case form your customers actually type, and spend the rest on genuinely different questions rather than different spellings of the same one.

What it does besides automation

This is the part competitors leave out, and it is why the honest answer to "should I pay for a platform" is more often "not yet" than vendors admit.

  • One inbox across channels — Facebook Page, Messenger, Instagram, and your WhatsApp Business account. (Manage messages with Inbox)
  • Assign conversations to a teammate on desktop, if you are an admin, editor or moderator. Removing an assignment lives in the same menu. (Assign conversations)
  • Labels, notes, Move to Done and Mark as Follow Up for basic queue hygiene.
  • Saved replies your team inserts by hand, and ice breakers shown before someone writes their first message.

The limits that are Meta's, not Business Suite's

Some ceilings get blamed on Business Suite but apply to every tool on Meta's channels, ours included. Worth knowing which is which, so you do not switch and find the problem followed you.

  • 24 hours to reply. Meta's messaging policy gives you 24 hours after a customer messages, and promotional content is allowed inside that window.
  • 7 days with the human agent tag. This is a message tag available to platforms generally, not a feature one vendor owns, and it exists so a person can finish what the standard window could not. (Human Agent)
  • One private reply per comment, within 7 days of that comment. (Private replies)
  • 13 quick replies at 20 characters each, and 4 ice breakers — neither available on desktop. (Quick replies, Ice breakers)

The one thing it genuinely cannot do

Strip the caps away and the dividing line is simple. Every Business Suite automation is one trigger producing one response. It never asks a question, waits, reads the answer and picks a different path. It cannot look up an order, qualify a lead across three questions, or route a chat by what someone meant rather than which word they happened to use.

That is the whole difference, and it is worth stating precisely because it is narrower than the marketing implies. If your replies are answers, Business Suite answers them perfectly well. If your replies need to make decisions, no number of keyword rules will get you there.

When to stay, and when to move

Stay where you are if your automation is a greeting, an away message and a handful of stock answers; if one or two people handle the inbox; and if nobody is waiting on information that lives in another system. That describes a great many healthy businesses, and it costs nothing.

Start looking when three or more of these are true: the 5-keyword cap is making you choose which questions go unanswered; a reply needs to depend on what the customer said a moment ago; after-hours messages are going cold often enough to cost real money; you need order, booking or payment data inside the conversation; or you are broadcasting to opted-in lists at a size the Page tools were never built for.

Is Meta Business Suite automation free?

Can Meta Business Suite assign conversations to my team?

Yes. On the desktop experience you can assign a conversation to a specific person from the Assign conversations menu, provided you are an admin, editor or moderator, and remove the assignment from the same menu. Labels, notes, Move to Done and Mark as Follow Up are available alongside it.

Does the Meta Business Suite inbox include WhatsApp?

Yes. Per Meta's Business Help Centre, Inbox shows messages and comments from your Facebook Page, Messenger, Instagram account and WhatsApp Business account in one place.

Can a Business Suite automation ask a question and branch on the answer?

No. Each automation is a single trigger paired with a single response. It cannot wait for a reply, evaluate it, and choose what happens next. Conditional flows of that kind need a platform on the official API with a workflow builder.
